VPSS Update - Week of February 12, 2018

I hope everyone had a great four day weekend and was able to rest and spent time with your loved ones. I had the opportunity to visit Sugarloaf Ridge State Park for the first time with my family. It's amazing how quickly it has recovered its beauty after the fires.

Summer/fall registration is approaching and there are lots of efforts taking place to help us transition through this change. I want to make sure everyone is well informed of the many changes occurring. Therefore, this week's update will be focused solely on updating you on our summer/fall registration transition progress.

Additionally, posters will go up this week across our campuses (see attached).  I'd like to thank our Marketing department, A&R, Student Affairs, and Counseling for working together to develop and distribute marketing materials. If any of you have other ideas to help communicate this change to students, please feel free to share them with me.

The Summer/Fall Registration Workgroup has been leading and coordinating efforts for this project. Freyja has done an excellent job leading this workgroup which is composed of key staff from IT, A&R, Counseling, Student Outreach, Business Office, Marketing, Financial Aid, Assessment, and Petaluma. At the moment, the workgroup is focused on ensuring all system modifications are in place and tested before April. This includes changing rules in our system related to fees, prerequisites, test scores, overrides, probation and dismissal. Additionally, the group is being proactive by reviewing different scenarios that might create issues for students. As issues are identified, they are addressed and tested. As with any large change, I anticipate that we might encounter unforeseen issues but I'm confident that the workgroup will be able resolve them promptly.

During our recent spring registration, the group piloted assigning students into smaller priority registration groups which significantly reduced the load on our system. This change allowed students to register without system interruptions and provided them with a better registration experience than in past semesters. Also, the group has combined the summer and fall application into a single application. This means students will only need to complete one application for both terms. These are all good changes that are helping improve students' onboarding experience to SRJC.

The Student Outreach team has been visiting high schools since mid-September to assist students with the completion of the admissions application and to help students register into Counseling 270.  To date, they have provided 52 application workshops at 25 high schools and assisted approximately 1,177 students. Due to the fires, nine schools were rescheduled to alternate dates. Note that, in previous years, most of these workshops would not occur until the spring term. The Student Outreach team is currently scheduling high schools for application workshops to assist students with their summer/fall applications. These workshops will take place in March to mid-April.


Additionally, outreach staff will be present at high schools on April 18-20 to assist high school staff and students with the registration process. During those days, A&R and Student Outreach will provide a dedicated call center to further assist high school staff and students with any registration questions or issues. The dedicated phone number for that call center is 707-521-7844.

Currently, we are offering 35 sections of Counseling 270 during the spring term. Ten of those classes are closed and/or with wait lists. Students who cannot take Counseling 270 can instead complete the orientation online or in person at SRJC. I'd like to thank our Counseling department for their flexibility and willingness to provide these courses during the spring semester. I recognize this was a major change to their department and I am grateful for their efforts.

Since September 2017, our Assessment office has visited 23 high schools multiple times to administer 943 placement tests. This is a new approach that was implemented to ensure we provided as many students as possible with placement tests. The Assessment team is currently working to identify students enrolled in Counseling 270 that are missing placement scores. They will reach out to those students and ensure they take placement tests prior to the start of their counseling 270 class. Next year, with the implementation of AB705, this should be a non-issue.

I want to acknowledge our EOPS department. The early registration process affected the format of their Summer Readiness program which was composed of Counseling 270 and Counseling 390. They have decided to redesign their Summer Readiness program to serve students that did not enroll in Counseling 270 and provide them with Counseling 390, orientations, and counseling appointments to complete their Educational Plans.  Thank you for being flexible and creative around our registration changes.

Lastly, I'd like to share that I've been making visits to our high schools with our Student Outreach team and Counselor liaisons. The purpose of these visits is to meet with high school principals, counselors, and other key staff to listen to their needs and learn how we can improve our processes, services, and support. Recently, we visited Ridgeway and Elsie Allen high schools and learned a lot about their unique needs. Next we will be visiting Roseland University Prep and Petaluma high school. My goal is to visit one high school per month until we have visited all high schools within our service area.
