JOB ANNOUNCEMENT
AFA Office Coordinator
The Santa Rosa Junior College faculty union, the All Faculty Association (AFA), is looking for a part-time Office Coordinator. The recruitment period for this position will be open through April 30. The ideal candidate will be a highly motivated, computer-proficient, and detail-oriented person who possesses strong communication skills (verbal and written) and is able to work independently as well as with others, respond quickly to changing priorities, handle multiple tasks and projects, and maintain confidentiality.
This part-time position is scheduled for 20-25 hours per week during the fall and spring semesters, with an additional 1-5 hours per week by arrangement as needed during the summer. (Note: the AFA office is closed on all District-observed holidays during the academic year, and is also closed during spring break, winter break, and the summer.) The starting hourly pay rate is between $21.54-$24.13 depending on education and experience. The AFA Office Coordinator is an employee of the All Faculty Association, a non-profit corporation; wages and benefits for the AFA Office Coordinator are provided by the All Faculty Association. The AFA Office Coordinator is not an employee of the Sonoma County Junior College District nor a member of SEIU.
JOB DESCRIPTION:
Under general supervision, performs administrative tasks for the All Faculty Association (AFA); provides support to AFA officers and negotiators; responds to phone, electronic, and in-person inquiries from SRJC faculty, management, and classified staff about matters related to the AFA/District Contract and other AFA business; directs inquiries to appropriate parties/departments/resources, as needed; composes, proofreads, and edits correspondence, reports, Contract documents, articles for publication, meeting agendas, and other materials; attends Executive Council meetings, takes notes, and prepares minutes; provides support to the Publications Coordinator; performs research as directed; and synchronizes office duties with the other Office Coordinator.
DISTINGUISHING CHARACTERISTICS:
Incumbents are expected to maintain complete confidentiality for all interactions; become familiar with the AFA/District Contract in order to respond to individual inquiries or refer them to the appropriate parties; and maintain general office systems. Incumbents are expected to have strong organizational skills; a professional and courteous manner; strong verbal and written communication skills; proficient computer skills (including the ability to use common software applications for spreadsheets, databases, word processing, and Internet navigation); and general knowledge of the responsibilities of other District departments.
KEY DUTIES AND RESPONSIBILITIES:
* Serves as the AFA office receptionist
* Retrieves, sorts, and delivers AFA office mail
* Maintains complete and accurate filing systems
* Synchronizes duties as needed with the other AFA Office Coordinator
* Performs various administrative support tasks for AFA officers and negotiators
* Schedules meetings, retreats, and workshops; makes conference and travel arrangements
* Inputs data into spreadsheets and databases
* Assists SRJC faculty, management, and staff and refers to appropriate AFA or District personnel
* Proofreads documents for accuracy, completeness, and conformity to established formats
* Attends AFA Council and Cabinet meetings, takes notes, and prepares minutes
* Prepares reports, correspondence, Contract documents, memos, and agendas
* Performs research and prepares reports as needed by AFA officers and negotiators
* Supervises the work of any student employees hired by AFA
* Answers questions and explains the AFA/District Contract, Constitution, Bylaws, and Policies
EMPLOYMENT STANDARDS:
Performs administrative support and coordination tasks with accuracy and speed; organizes, prioritizes, and completes tasks in a timely manner; keyboards with accuracy and efficiency from clear copy or handwritten notes; composes, proofreads, and edits correspondence, reports and other documents with direction; analyzes situations accurately and takes appropriate action; communicates effectively in English; follows and gives oral and written directions; interacts with other District employees and the public in a helpful, courteous and professional manner; maintains complete confidentiality for all interactions; maintains effective working relationships; and demonstrates sensitivity to, and respect for, a diverse population.
KNOWLEDGE OF:
Modern office methods and practices including filing, proofreading, formatting, and report writing; proper English usage, spelling, vocabulary, and grammar; current office equipment, technology, and standard computer software programs such as Microsoft Excel, Outlook/Entourage, and Word, FileMaker Pro, and Internet navigation applications; proper reception and telephone etiquette; District policies and procedures.
MINIMUM QUALIFICATIONS:
Candidates/incumbents must meet the minimum qualifications as detailed below.
* Graduation from high school.
* A minimum of one year of administrative assistant or related experience.
* Keyboard at a minimum of 45 words per minute.
* Preferred: Completion of an administrative assistant certificate (or equivalent coursework).
* Preferred: Familiarity and/or experience with SRJC or other educational settings.
BENEFITS:
After earning permanent status in the position (through successful completion of the six-month probationary period, with satisfactory or better evaluations at the end of three months and five months), the incumbent will be eligible for holiday and sick leave benefits, plus an hourly cash benefit in lieu of health benefits.
