[ITT-staff] Summarized Information on COVID vaccine and testing rollout

Dear Ag/NR, Culinary Arts, ITT and Shone Farm Colleagues,
This week we all received a lot of information about the new student, employee and visitor check-in and clearance processes beginning Monday, October 18.
I do my best to summarize the information below. Dr. Chong's email from yesterday and the helpful video explanation is also attached.
Please remember that we are in uncharted territory as we implement new pandemic safety protocols in the middle of a busy semester. Please exhibit patience, kindness and grace to your colleagues and students as we navigate this unpreceded endeavor together.
CLIFF NOTES VERSION
1) I am present on the Santa Rosa or Shone Farm campuses M-F. If you have any questions, or need any assistance whatsoever, call my desk 707-527-4880 or cell 310-691-0180. I am here to help.
2) Students attending on-campus classes or students coming to campus for appointments must get a color-coded wristband from a Safety Monitor for each day they are on campus.

4) Once your vaccination record is reviewed and approved you will receive an email. Be patient, there is a backlog right now as SHS and HR review hundreds of submittals.
5) Employees do not need to check in at Safety Monitor stations.
6) If you have an "access badge" (also known as a CCURE card or electronic key card), you are good to go once your vaccine or testing requirement is processed.
7) If you don't, you can wear a wristband demonstrating you are cleared to work on campus.
8) I will distribute silicone wristbands to staff and faculty in Lark, Shone (via Chris), Culinary Arts, and Lounibos Hall on Monday 10/18 and throughout the week. You do not need to request a wristband individually. This is concierge-level wristband service!
9) The first week is a transition week. Everyone who is scheduled to teach or work in person should come to campus. I have a continuously updated list of employees in our cluster that are cleared to be on campus and will be reaching out individually with any questions or concerns.
10) If you need an "access badge", contact your incredible Department Administrative Assistant (Jennie A, Maddie, Robin, or Tera) who will help collect forms and photos for employees that need an "access badge". This will be much less complicated then everyone inundating District Police individually.

STUDENTS WITH IN-PERSON CLASSES:
* Starting Monday 10/18, each day that a student comes onto campus they must go to a Safety Monitor station and show that they have either been vaccinated or have been tested (weekly) for COVID.
* These students have been sent a link to software called "Cleared4" where they upload their vaccination cards or, alternatively, where their campus COVID test results are posted.
* When the student shows the Safety Monitor they have received a "Cleared4" college access pass (due to vaccination or a negative test) the student will be given a wrist band with the color of the day.
* Your students must have the appropriate wristband to be allowed in to class or enter campus buildings.
* Please note: students must also continue to scan the QR codes for each building they enter.

STUDENTS COMING TO CAMPUS BUT DO NOT HAVE IN PERSON CLASSES:

* Once they log in, they'll find a link under the "Admissions and Registration" menu to request a pass.

* Once activated, all future prompts will be sent from the CLEARED4 system to the student through text messages or email.

* This information has been emailed directly to students, but feel free to remind any pertinent student.

EMPLOYEES

* To avoid interruption to scheduled in-person work next week or beyond, please ensure you've followed those steps, and reach out ASAP if run into any issues.
* Monday, October 18- Weekly testing begins for employees who have chosen that option. Appointments will be available every day of the week at this site<https://www.signupgenius.com/index.cfm?go=s.signup&urlid=10c0d4aa5aa2da3fac34-employee1&view=standard>, and testing must be completed before the end of each week.
* Employees can use an SRJC access badge (also known as a CCURE card or electronic key card) when accessing college facilities and do not have to check-in at a Safety Monitor Station. Black temporary Tyvek or semi-temporary black silicone wristbands will be provided to employees who have not yet received a permanent access badge.
* I will distribute silicone wristbands to staff and faculty in Lark, Shone (via Chris), Culinary Arts, and Lounibos Hall on Monday 10/18 and throughout the week. You do not need to request a wristband individually. This is concierge-level wristband service!
VISITORS
* Beginning November 1, visitors entering a District building on any site will be required to comply as follows:
* Visitors who are supporting students inside of classrooms must comply with the full vaccine requirement. In order to receive an invite to register with CLEARED4, please call the SRJC COVID-19 Helpline at 707-524-1500.
* Other members of the public must check-in at a Safety Monitor Station and provide proof of vaccination, show proof of a negative COVID-19 test taken within 72 hours or take a rapid COVID-19 test on-site.
* Visitors who are verified by a Safety Monitor will receive a yellow date-stamped wristband. The check-in process will require visitors to complete a health assessment, report the district buildings they will be entering and provide their contact information for required contact tracing purposes. Please note that visitors for specific events, activities or services may be required to follow additional protocols.
CHALLENGES
* Please refer any student or visitor not wearing a wristband to a Safety Monitor Station where they can receive assistance.
* In the event that a student becomes disruptive and/or is non-compliant with COVID-19 protocols, and does not follow the directives of faculty/staff, contact Robert Ethington, Dean of Students, at rethington at santarosa.edu or (707) 527-4573; or Michelle Vidaurri, Director, Student Engagement, Petaluma, at mvidaurri at santarosa.edu or (707) 778-2401. They will activate the B:CARE team to address the situation with the student. If you feel threatened or in danger, immediately contact District Police at (707) 527-1000.
