Thank you, Violet, for running this down! I think we can make it work on Friday, May 2. We might actually want to rest up later that night in preparation for the next day and working at our Hawaiian Village.

Would we set up from 3-5 and serve dinner from 5:00 to 7:30, and then clean up till 8:30? Not sure how much is involved. 

We probably won't need to schedule several different entertainers, since time is limited. We should coordinate this with Faith to see what she recommends. We can always play recorded music until Faith is ready to do her show.

Ok here's the deal with the luau.

I spoke with Javier Rodriquez, the supervisor for the Custodial crew.

He will let Robert know that we can use the SAC and the Dining room on Friday May 2nd we just have adjust our time a bit.

The dining room is used for a huge miniature train exhibit which they need to start setting up early Saturday, May 3rd.  So the Dining room has to be cleared of furniture by 8:30 Friday so that the custodial crew can clean it.  We have use of it until 8 p.m. as long as we stack the chairs and fold the tables up after the event. We would have to be out of the venue by 8:30 p.m.  The custodial crew only works until 10 p.m. on Fridays.

We also have use of the SAC if need be, the setup pretty much stays the same for the DUO except they may remove a few tables.  We are good as long as we leave the venue as we found it.  So they don't have to do additional cleaning.

So our original start to setup time was 3 p.m. and ending at 10 p.m., so now that we can only go to 8 p.m. did we want to change the 3 p.m. start to setup time, or do you guys think that time will work for us?  I think that start time is fine.

Let me know what the consensus is.

Even though our grant proposal stated Saturday the 3rd, I believe we do have the ability to change the date due to the circumstances.

 Bertolini is not available on the Saturday the 3rd because they are setting up for events that will happen for Day Under the Oaks.

I'm checking to see if it is available on Friday, the 2nd.

In the grant, the luau is "scheduled" on May 3, Sat. We were hoping to have it at Shone Farm, but it didn't work out. So we asked if Friday would work, but Shone Farm had no availability that weekend.

I think we were looking for a venue on Fri. or Sat. night for the luau. Is Bertolini availalbe on both nights?

I met with Ed today and he says Sat May 3rd is good for P shows!
We could do a matinee and also eve show? Or two eve shows? 

Can you get me the text ASAP from your friend or put me in touch with him so we can get a text to start getting images together? Or we should have a meeting with whomever wants to particpate in the production. I am happy to produce it but I definitely need a text to start with. 

I also think some live uke playing, prayer in Hawaiian, chanting and dancing, etc in the dome to accompany would be most excellent. 

I'm excited!
